1. Privacy Policy Statement and Personal Data held by HKIHRM

Hong Kong Institute of Human Resource Management Personal Data Privacy Policy Statement for Courses and Activities.

 

This policy applies to individuals participating in any courses and activities organised by the Hong Kong Institute of Human Resource Management (hereinafter, referred to as "the HKIHRM").

 

The HKIHRM respects personal data and is committed to full implementation and compliance with the data protection principles and all relevant provisions of the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486) (hereinafter, the “PDPO”). In doing so, we will ensure that staff involved in handling personal data comply with appropriate standards of security and confidentiality.

 

This "Personal Data Privacy Policy for Courses and Activities" is to be read in conjunction with the HKIHRM's overall "Privacy Policy". Both policies are applicable and effective for individuals participating in courses and activities organised by the HKIHRM.

 

Use of Personal Data we collect

 

Regardless of the method of collection, whether online or through physical channels, the HKIHRM will specify the purposes of personal data being collected.

 

The personal data collected by the HKIHRM will be used, within the limits permitted by law, for purposes such as processing the application or registration, courses and activities approval, academic and administrative communications, web access and data analysis, member affairs and contacts, research, statistics, market analysis and marketing (including direct sales & marketing), management, records, and participant contacts. Examples are necessary student records, academic communications, member communications, participation records, etc. Such data may also be outsourced to other organizations related to the courses and activities in which the participant is involved, in the form of a contractual arrangement.

 

The HKIHRM will divulge personal information only if required by law or with your prior consent.  However, data may also be used in aggregate form for research and statistical purposes and in such circumstances individual data will not be divulged.

 

The personal data that you supply (including your name, contact information, and other data such as courses attended and year of graduation, etc.) and any media such as video footages, recordings, and photos captured during courses and activities, may include your appearance and/or voice, will be used for channels of communications, member communications, and promotion on the availability of courses, activities and the HKIHRM (through channels, including email, the HKIHRM’s website, press releases, LinkedIn, Facebook, and other social media).

 

The HKIHRM will provide you with the latest course information and marketing messages through letters, emails, mobile phones, and other social media. These messages may include updates on HKIHRM’s lectures and events, discounts and offers, consultancy services, member activities, member privileges, member gatherings, and fundraising activities. It may also include information from the HKIHRM or its subsidiary organizations from time to time.

 

You always have the right to make subsequent changes on your choice of receiving further marketing materials by sending a written unsubscribe request to the Data Protection Officer (please see contact details in the paragraph  “Data Protection Issues / Enquiries”).

 

Right to Access and Correction

 

Under the PDPO in Hong Kong, individuals have the right to request access to and correction of their personal data. Should you wish to access or correct your personal information held by us, please send your enquiry or request to the Data Protection Officer by post or by email (please quote "Data Access Request"). A reasonable fee may be charged for the processing of certain data access requests.

 

Changes to this statement

 

The HKIHRM’s Data Privacy Policy Statement may be updated from time to time so please check this statement periodically. In case of inconsistency between the English and Chinese version, the Chinese version shall prevail.

1b. [General Privacy Policy Statement and Personal Data held by HKIHRM]

 

There are three categories of personal data held by HKIHRM (with purposes):

a) Membership, Marketing and Participants' lists which include records containing information supplied by data subjects and data users and collected in connection with membership, marketing and participants activities undertaken by or on behalf of the HKIHRM. Records are kept for purposes that include corresponding with, responding to and taking follow-up action in respect of members, promotion activities and participants, including compiling and publishing membership directories and participants' lists.

 

b) Records of employees are kept for human resource management purposes, relating to such matters as statutory requirements. employees' terms of employment, performance appraisal, providing references, discipline and termination.

 

c) Other records which include administration and other files, containing personal data provided to the HKIHRM by individuals for purposes other than those connected with membership. marketing, participants or employment. Records are kept to enable us to carry out various functions and activities which vary according to the nature of the purpose for which such records are to be used, including administration of the office and institute's functions and activities, seeking advice on operational matters, participating, promotional and training activities organized by, or on behalf of, the HKIHRM, acquisition of services and handling of enquiries from members and the public.

 

2. Cancellation Policy

For individual members, member rate on participation fee is only applicable to members enrolled in their own name once per programme. 

 

All participation fees shall be non-refundable and non-transferable under any circumstances. Also, no-shows will incur the full cost of enrolment. 

 

The HKIHRM reserves the rights to replace the speaker and/or cancel the event, to alter the content, timing, and venue of the event, as well as to reject any enrolment for whatever reasons at any point in time.

 

3. Adverse Weather Arrangements

 

For classes, examinations and corporate trainings that have not commenced:
If Typhoon Signal No. 8 or above/Black Rainstorm Signal announced by the Hong Kong Observatory is in force/likely to be issued during the following time periods, classes, examinations and corporate trainings will be cancelled. 

At or after 07:00 Whole-day classes, examinations and corporate trainings that are held between 09:00 and 18:00 will be cancelled
At or after 12:00 Afternoon classes, examinations and corporate trainings that are held between 14:00 and 18:00 will be cancelled
15:00 and onwards Evening classes, examinations and corporate trainings that are held after 18:00 will be cancelled

 

For classes, examinations and corporate trainings that have commenced:

When the Typhoon Signal No. 8 or above is in force Immediately dismissed 
When Black Rainstorm Signal is in force Continue#*

*It will be the discretion of students, particularly those living on outlying islands or in remote areas, to leave earlier.
#All outdoor activities will be suspended.
Notice of the reschedule arrangement will be sent out to participants within a week.
